Privacy policy

How a2z Financial Solutions collects, uses and protects your personal information, and what you can ask us to do with it.

Who we are

a2z Financial Solutions is a remote-first accounting practice serving clients across Canada. In this policy, “we” and “us” mean a2z Financial Solutions, and “personal information” has the meaning given to it in the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect, and why

When you use the contact form. We collect your name, email address, phone number if you give one, the topic you select, and whatever you write in the message. We use it only to answer you and, if you become a client, to carry out the work you ask for.
When you book a call. Booking uses Microsoft Bookings. The name, email and any notes you enter go to Microsoft and to us, and you receive a Microsoft Teams invitation.
When you contact us by WhatsApp, phone or email. We keep the conversation and your contact details so we can pick up where we left off.
When you become a client. To prepare returns and filings we collect what the work requires: identifiers such as your SIN or Business Number, income and expense records, CRA correspondence, and information about your household where credits depend on it. We collect this because we cannot file accurately without it.
When you browse the site. We use Google Analytics to understand which pages are read and how people arrive. This is aggregate traffic measurement, not individual profiling, and we do not use it for advertising.

Consent

We collect personal information with your knowledge and consent. Submitting the contact form, booking a call or engaging us for work is your consent for us to use that information for the purpose it was given.

You can withdraw consent at any time by contacting us, subject to legal and professional record-keeping obligations described below. Withdrawing consent may mean we can no longer act for you.

Who else can see it

We do not sell personal information, and we do not share it for advertising. We share it only where it is necessary to do the work or run the site:

The Canada Revenue Agency and provincial authorities, when filing on your behalf with your authorisation. Accounting software such as QuickBooks, Xero, Sage or Tally, where your books are kept. Hostinger, which hosts this website and our email. Microsoft, for bookings and Teams meetings. Google, for website analytics. Our specialist partners, such as Disability Tax Refunds for Disability Tax Credit applications, and only with your agreement.

Some of these providers process or store data outside Canada, which means it may be subject to the laws of the country where it is held. We choose established providers with their own security and privacy commitments.

How long we keep it

Enquiries that do not become engagements are kept only as long as needed to deal with them.

Client records are kept for at least six years after the end of the tax year they relate to, which reflects the Canada Revenue Agency record-retention requirement and our professional obligations. Because of this, a request to delete your information cannot override a record we are required to keep.

This period should be confirmed against the practice’s own retention policy and professional body requirements.

How we protect it

This website is served over an encrypted HTTPS connection, and documents are exchanged through secure upload or a shared cloud folder rather than as plain email attachments where we can avoid it. Access to client files is limited to the people working on them.

No method of transmission or storage is completely secure. Please do not send your SIN, banking details or other sensitive identifiers by ordinary email or WhatsApp. Ask us and we will send you a secure route.

Cookies

This site sets cookies for two purposes: analytics, through Google Analytics, and performance, through our caching system. We do not use advertising or cross-site tracking cookies.

You can block or delete cookies in your browser settings. Blocking analytics cookies does not affect how the site works for you.

Your rights

You can ask us what personal information we hold about you, ask us to correct anything inaccurate, ask us to stop using it for a particular purpose, or ask for a copy. Write to info@a2zfinancialsolutions.ca and we will respond within thirty days.

If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Changes to this policy

We update this policy when our practices or the services we use change. The date below shows when it was last revised, and the current version always applies.
